Energy Efficient Homes Midwest, Inc. ("EEHM," "we," "us," or "our") operates the EEHM Vault application and VaultBot, a Google Chat app. This privacy policy explains how we collect, use, and protect information when you use our services.

VaultBot (Google Chat App)

When you interact with VaultBot in Google Chat, we collect:

  • Messages you send to VaultBot — Your questions and responses are processed to generate answers and are stored as conversation history.
  • Google Chat user information — Your display name and email address, as provided by Google Chat, to maintain conversation context.
  • Usage metadata — Timestamps and space identifiers for rate limiting and service reliability.

EEHM Vault Web Application

When you use the EEHM Vault website or company portal, we collect:

  • Account information — Name, email address, and company affiliation for authenticated users.
  • Rating and builder data — Business information submitted through the portal or admin interface.

How We Use Your Information

We use the information we collect to:

  • Respond to your questions via VaultBot
  • Maintain conversation history for context in follow-up questions
  • Operate and improve our services
  • Ensure service reliability through rate limiting and monitoring

Data Retention

  • VaultBot conversations are generally not retained for more than 90 days and are subject to periodic deletion; actual deletion timing may vary.
  • Account and business data in EEHM Vault is retained as long as your account is active or as needed for business operations.

Data Sharing

We do not sell your personal information. We may share information with:

  • Service providers — Cloud hosting (Render), language model providers (Google, OpenAI) for processing VaultBot queries, and database services necessary to operate the application.
  • As required by law — When required by applicable law, regulation, or legal process.

Third-Party Services

VaultBot uses third-party language models to generate responses. Your questions are sent to these providers for processing. These providers are bound by their own privacy policies and data processing agreements.

Security

We use industry-standard security measures to protect your information, including encrypted connections (HTTPS), token-based API authentication, and JWT verification for Google Chat events.

Your Rights

You may request deletion of your VaultBot conversation history by contacting us. For account-related data in EEHM Vault, contact your company administrator or reach out to us directly.

Changes to This Policy

We may update this privacy policy from time to time. We will notify users of material changes by updating the effective date at the top of this page.
